How can TexasPMB improve my cash flow?
 

There are many ways in which TexasPMB can increase your cash flow.  First we start by setting up your account to file electronically.  Electronic filing will allow us to drastically reduce the time required for you to receive your check.  Second, we continually follow-up all denials and any claims over 45 days outstanding.  Many times when the billing is done in-house, the daily procedures are promptly billed, but the staff is often too busy to re-file the denials.  These claims will continue to get backlogged and can account for a substantial amount of additional revenue.  In addition, our service will allow you to reduce your staff, reduce office space and supplies, and minimize the need to upgrade computer equipment and software.

What are the advantages of filing electronically?

Electronic filing allows us to drastically reduce the time required for you to receive your check.  Typically, electronic filing takes around two weeks.  Also, by filing electronically, we are able to use sophisticated software to check the claims for errors.  This results in more accurate claims with fewer denials.

Does everything file electronically?

No.  Unfortunately we are not able to file every claim electronically.  Currently Texas Workman’s Comp still requires paper documentation along with the claim.  TexasPMB is in constant communication with the TWCC’s office and will start filing electronically as soon as TWCC makes it available.  In the interim, TexasPMB can still process your claims via standard mail.

What can be done about my old receivables?

TexasPMB re-files old receivables and has great success collecting from previously denied claims.  We have many physicians that are totally committed to TexasPMB because of our ability to collect on old claims where others had failed.

Are you a collection agency?

TexasPMB is not a collection agency.  We do, however, mail statements to the patient and can increase the urgency of the message at your request.  Our monthly reports will indicate which patients are in default, how long they have been in default, and how much they owe.  You can then determine if a collection agency is necessary.  We can work payment plans with your patients if you desire.

I have seen medical billing software for sale.  Why shouldn’t I do my own billing?

There are many software packages on the market for medical billing and choosing the correct one is critical.  Past experience has shown us that most of these packages do not offer the security and features that our clients grow to expect.  If they do, they are often too expensive for a single office to purchase.  And a system that is excellent today will be merely adequate a short time from now due to rapidly changing technology.  Remember, every time your software is changed, you and your staff will need to be re-trained.  TexasPMB has invested heavily in a sophisticated computer network that allows us to generate custom reports and insure that your data is protected at all times.  We are also committed in staying ahead of the technology curve.  In addition, TexasPMB is kept abreast of ICD and CPT code changes to minimize denied claims.  We have accumulated great knowledge and experience from the volume of claims we process.

What kind of reports do you provide to monitor my accounts?

TexasPMB provides a comprehensive list of monthly reports.  We can also provide you with custom reports at any time during the month.  Please see our Practice Management section for a more detailed list of reports.

How long will it take for me to receive payment?

If TexasPMB is able to file electronically, you should see your check within 2 weeks.  Paper filing typically ranges from 4 to 6 weeks.  If you enroll for electronic funds transfer (EFT) with BC/BS, TexasPMB can actually get same day payments.

I am not located in Austin, TX.  How do you handle a long distance relationship?

Exactly like we would if you were located in Austin, TX.  With today’s technology, like fax, email, and electronic data transfer, we can efficiently service any account anywhere in the United States.  And if an emergency were to arise, a representative from TexasPMB would board a plane and could be on site by the next morning.  We have accounts setup with DHL, Lone Star Express, and Federal Express.  The bulk of our incoming claims and EOBs are sent by clients in our bar coded overnight packaging.

How do you handle clinics with multiple physicians, like an Ambulatory Surgery Center?

All physicians are linked together to provide summation and statistical reports for the clinic.  However, every procedure is tied to a specific patient and a specific physician. This allows us to give a detailed report to each physician: even if that one patient sees multiple physicians.

Where do the checks go?

The checks can be directed to any location you choose.  They are typically sent directly to your office.  The EOBs are then sent to us for posting.  It is possible to have the checks deposited directly into your account through the use of a lock box.

Who does the Patient call for a billing question?

The patient should call us for any billing questions.  TexasPMB places our toll free number on every statement we send out.  One of the advantages our service provides is the ability to reduce your call volume.  Let TexasPMB be stern and look out for your business interests, while you be the compassionate caregiver.

How do I check a balance for a Patient?

Your office staff can:
  • call our toll free number at anytime to get current patient balance information,
  • look up the balance on your monthly patient balance reports,
  • or log in to our system from your office and check the account.

What if a Patient pays in the office?

Accept the payment just like you would an insurance check.  Your staff can then notify our office that a payment was made to that patient’s account and we will post the payment.

What if the Patient pays TexasPMB?

If a patient mails a payment to TexasPMB by accident, we will immediately forward that check to your office.  Once you have acknowledged the payment by the patient, we will then post the payment to the patient’s account.

How do I know a procedure got billed?

TexasPMB will get the daily sign-in sheet from your office listing all the patients that were seen each day.  We will use this checklist to make sure that every procedure was billed.  We will also provide you with a transaction report each month that you can use to cross reference your patient lists.
